Recruiting workflow guides and glossary.

Start here when the site language gets unfamiliar. These guides translate Kempian concepts into recruiter-readable terms: job orders, candidate fit scores, approval gates, and audit-ready workflow.

Workforce Intelligence Glossary.

Key terms used across the site, written for recruiters, staffing teams, HR, and enterprise TA.

Recruiting workflow visibility
A clear view of job orders, requisitions, candidate pools, fit scores, recruiter approvals, submissions, and post-hire updates in one flow instead of across disconnected tools.
Candidate fit score
Kempian's explainable match score. Rather than returning only a percentage, it shows skills, experience, compliance, location, missing evidence, and the next recruiter verification step.
Job order / requisition intake
The first workflow step where client requests, VMS roles, hiring-manager notes, or emailed job orders become structured records that a recruiter approves before sourcing starts.
Recruiter approval gate
A visible checkpoint before consequential work moves forward. Kempian uses approval gates for job order intake, shortlist review, outreach approval, and client submission.
EU AI Act Annex III
The section of the EU AI Act that classifies AI systems used for employment, worker management, and access to self-employment as high-risk. Article 14 of the Act requires meaningful human oversight of such systems. Kempian's four-gate architecture is designed to support Article 14 compliance posture.
Domain-aware sourcing
A sourcing approach that searches and scores candidates against the role type they actually belong to, such as healthcare, legal, manufacturing, finance, or technology.
Missing evidence
A candidate detail the recruiter should verify before acting, such as licence status, location, certification, recent experience, or availability.
AI recruiting assistants
Bounded assistants mapped to familiar recruiting jobs such as job order intake, sourcing, scoring, outreach, evaluation, scheduling, and submission. Each assistant has a clear human approval point.

Frequently Asked Questions.

Questions from procurement, compliance, HR, and IT evaluators during the platform evaluation process.

How is Kempian different from an ATS?

An ATS tracks applicants after jobs are opened. Kempian guides the work around the ATS: job order intake, candidate sourcing, fit scoring, recruiter-approved outreach, submission, and post-hire updates. Many teams use Kempian alongside their existing ATS.

What is the candidate fit score?

The candidate fit score is an explainable match score. It shows skills, experience, compliance, location, missing evidence, and the next recruiter verification step so teams can review the recommendation instead of trusting a black-box rank.

What does the EU AI Act mean for AI recruiting tools?

EU AI Act Annex III classifies AI systems used for employment, worker management, and access to self-employment as high-risk. Article 14 requires meaningful human oversight — specifically, the ability for humans to understand, review, and override AI outputs before consequential decisions are made. This applies to AI recruiting tools used in EEA countries. Kempian's four mandatory human review gates are designed to support this requirement.

How does Kempian handle candidate data under GDPR?

All candidate data is stored per-tenant in AWS DynamoDB with tenant isolation. Every database operation is scoped to the authenticated tenant. Candidate opt-out records are maintained and enforced before any outreach step. Data subject rights (access, deletion, export) are supported at the tenant level. Kempian does not use customer data to train or improve the shared AI model. A data processing agreement is available for enterprise customers.

What industries does Kempian serve?

Kempian is designed for staffing operations and regulated hiring environments such as healthcare, legal, manufacturing, finance, and technology. Role-specific fit factors make the review more relevant for recruiters in each vertical.

Can Kempian replace our ATS?

Kempian is designed to work alongside ATS, HRIS, VMS, and payroll systems. It does not require replacing your current stack. Teams usually connect Kempian for job intake, candidate matching, outreach approvals, and record handoff.
